How to manage Renting and Leasing vehicles in Pulpo

Learn how to add a vehicle under a Renting or Leasing contract in Pulpo, register contract details, and check the full renting history for each vehicle.

What is this feature for?

The Renting and Leasing functionality in Pulpo allows you to register contracts linked to vehicles, track costs and mileage, and keep a complete contract history per vehicle.

This feature is available for Admin and Employee profiles, depending on company permissions.

How to add a Renting or Leasing vehicle

Access the Vehicles section

  1. From the side menu, go to Fleet.

  2. Click on Vehicles.

  3. Click the ➕ Add button in the top-right corner.

Complete the vehicle’s general information

In the General tab, fill in the required fields:

  • Vehicle type

  • Name

  • License plate

  • Ownership → select Renting or Leasing

  • Vehicle status, fuel type, circulation permit, etc.

💡 When Renting or Leasing is selected, Pulpo automatically enables the Renting/Leasing tab.

Open the Renting/Leasing tab

Click on the Renting/Leasing tab at the top of the vehicle form to register the contract details.

Fill in the contract information

Contract details

  • Reference (contract number or internal ID)

  • Supplier

  • Start date

  • End date

  • Contract duration

Mileage information

  • Contracted mileage

  • Mileage per year

  • Initial odometer

Costs

  • Recurring fee

  • Payment frequency

💡 This information allows Pulpo to track costs, monitor mileage deviations, and improve contract control.

Save the vehicle

  1. Review all information.

  2. Click Create.

The vehicle will appear in the fleet list with Renting or Leasing as its ownership type.

Best practices

  • Make sure contract dates and mileage match the actual agreement.

  • Always register the recurring fee to ensure accurate cost tracking.

  • Use the contract reference to simplify future management or support requests.
